Contacts and import

Add, import, tag and manage your email contacts, and understand each contact status.

  • Editors and owners

Email → Audience holds your contacts. The tabs are Contacts, Segments, Forms and Fields.

StatusWhat it means
SubscribedCan receive campaigns.
PendingSigned up through a double opt-in form and has not confirmed yet.
UnsubscribedOpted out. Not emailed again unless they confirm a new double opt-in sign-up.
CleanedThe address hard-bounced. Permanently suppressed.
LeadCaptured by a form but not subscribed to your list.

Unsubscribes are handled for you. Anyone who uses an unsubscribe link is excluded automatically, and you never have to maintain that list.

The page shows totals for Total, Subscribed, Unsubscribed, Pending, Leads and Cleaned. Search by email or name, and filter by status or tag.

  • Every row offers Edit contact, Delete contact and Manage tags. Subscribed contacts also offer Unsubscribe.
  • Select rows for Unsubscribe selected or Delete selected. To act on everything matching your filters, choose Select all N matching these filters; the buttons then read Unsubscribe all and Delete all. Deleting asks you to confirm.
  • Open a contact to see their details and an activity timeline.
  • Export these contacts downloads the filtered list.

Tags group contacts so you can target them. Create and apply tags from Manage tags, then send to a tag or use it in a segment.

  1. On Contacts, press Import CSV.
  2. Choose a .csv file with Choose a CSV file.
  3. Under Columns in this file, match each column: leave it as a new field, or map it to a field you already have. This step appears once you have custom fields; on a first import every extra column becomes a new field.
  4. Choose a Default status for the new contacts. It is Subscribed unless you change it. Imports send no confirmation email, so Subscribed contacts can be mailed straight away.
  5. Import. Svay reports how many contacts were Added, Updated and Skipped (invalid or duplicate rows), with the first 50 errors.

Requirements:

  • The file needs an email column. The header can be email, email address, e-mail or email_address.
  • First and last name columns are matched automatically (for example first_name, fname, last_name, surname).
  • Every other column (Company, Plan, City) becomes a custom field, available as a merge tag in emails. Blank cells are skipped.

How duplicates and existing contacts are handled:

  • Emails are lower-cased and trimmed. A repeat of the same address in one file is skipped as “duplicate in file”, and a malformed address is skipped as “invalid email”.
  • A contact you already have gets their name and custom fields updated, but their status never changes. Re-importing does not re-subscribe anyone who unsubscribed. The Default status applies only to new contacts.

The Fields tab lists the custom fields that imports created, for example Company or Plan. Each row’s menu lets you Rename, Merge into another field (choose which value wins where a contact has both) or Delete field. Fields hold text.

“no email column found in header”. Add an email column to the first row of your file.

“empty file or missing header row”. The file has no header row.

A contact I imported is not getting emails. Check their status. Unsubscribed and Cleaned contacts are never mailed, and a re-import will not change that.

I imported someone who unsubscribed, and they are still unsubscribed. That is by design.
